Where should my business start with AI?

Three questions to find your first use case without overspending or chasing trends.

Many small businesses ask the same question: everyone is talking about artificial intelligence, so where do I start? The short answer: with a concrete problem in your business, not with a tool.

1. Which task do you repeat every week?

For one week, write down the tasks you or your team do more than once: copying invoice data into the accounts, answering the same customer questions, preparing similar quotes or summarising meetings. Note how long each one takes.

A task that takes 3 hours a week adds up to about 150 hours a year. That is your first candidate.

2. Is the data at hand?

AI works with information. If invoices arrive as PDFs in one inbox, or customer questions sit in WhatsApp or a shared mailbox, you can start. If the information is on paper or in one person's head, the first step is to organise it, and that alone often saves time.

3. How will you know it worked?

Before you start, pick one number: hours per week, response time to customers or errors per month. Measure it today. If the number has not improved after 4 to 6 weeks, change approach or stop. That way you avoid projects nobody can prove are useful.

An example

A 6-person accounting office spends about 5 hours a week entering client invoices into its accounting software. With a tool that reads the invoices and proposes the entries, one person only checks and confirms. The time drops to under 1 hour a week, with no big project and no change of software.

What to avoid at the start

  • Buying a tool before you know which problem it solves.
  • Starting with the most complex process in the business.
  • Leaving the team out: the people doing the task know where it gets stuck.
  • Pasting customer data into free tools without checking their terms.

The next step

Pick one task, measure how long it takes today and test a solution for a few weeks. If you want help choosing, in a 30-minute call we go through your tasks and tell you which one has the most potential.
